Sending Emails to Participants

You may wish to communicate via email with players who have booked onto programmes. You can send emails to your contacts through the contacts module or programming module. 


1. Go to to contacts module in the admin area.

2. Select the contact (s) you would like to email. By selecting the tick box at the top (next to Unique ID) this ill select all contacts. If you want to send to an individual you can also open up their contact record and email directly from there.

3. Then select the email icon shown below.

4. The following overlay will appear. You can include unregistered contacts- who haven't yet registered with the platform, add a subject heading and write your message. There is a tool box, you can use to add images/links, create tables and change the format of the text. You can also see the recipients list to make sure all the contacts you wish to contact are included. 

Please bear in mind that this number may be lower than the number of contacts selected for a number of reasons.

  • The member has unsubscribed from emails, you can check this in the contacts module, under the 'Unsubscribed' column
  • Doesn't have an email address associated with their record
  • Appears multiple times (the email will only be sent once for example if two members have the same email)
  • Is a junior member and doesn't have a parent/ guardian associated with their record

You can also add an attachment via the 'Browse' button in the contacts module see below:

PLEASE NOTE: Only one document of the size of 1MB can be attached

If you want to send a different type of document or a bigger file you can do this via the 'link' icon in the tool box and send it this way. You can add any attachments required by highlighting any text (drag mouse over text & right click) which is related to the file you want to send, for example 'see our newsletter'.

Click the globe iconmceclip1.pngwithin the text editor toolbar and 'Browse library' for file.

Select the 'file' you'd like to add to the email from your device / computer. Select 'Choose' in the corner when selection is complete.

Click on 'OK' to complete changes:

5. Then press the blue 'Send' button. You will see a loading sign and then be taken to a confirmation screen.
